Booking Terms and Conditions

Tour participants acknowledge reading and agreeing to the terms and conditions set forth below; they set out a contract between you and The Vacation Station.

NOTE: Recent 2020 payment changes are noted below in red italics. These changes are primarily due to the influence of the Corona Virus to new reservations.

Standards – Please note that living standards and practices that differ with North American standards, may be encountered during your travel.

Travel Documents
– Canadian and US citizens require a valid passport for travel to Europe. Entry to another country may be refused even if the required information and travel documents are complete.

A valid International Drivers License is required to rent cars in Germany, Austria and Spain, and recommended in Italy and Switzerland. They are available from any CAA or AAA office.

A passport size photo may be required for 6-day lift passes at some resorts.

Not included in advertised tour package price – flight taxes & associated fees, passport and/or visa fees, tips, items of a personal nature, bar or beverages, and other services not specifically shown as included in package.

Extended Stay/Stopovers – You may extend your stay provided you make proper arrangement at the time of booking.

Reservations – All space is on a first come, first serve basis. All reservations are considered confirmed once a deposit is received by The Vacation Station. The Vacation Station reserves the right to cancel any reservations if deposit or final payment are late.

Deposits/Payments – In general a non-refundable deposit of $500 per person is required at the time of booking for all hotel-based ski, cycling, hiking tours etc. For certain itineraries or custom packages, the deposit requirement may be higher and will be quoted as such.

Final payment is due 50 days before departure unless specifically advised otherwise, plus also noted on your Invoice.

Deposits to Bike & Barge tours require a non-refundable deposit of $750 per person, with the trip balance due 90 days prior to departure.

Note: Deposits increase to $1000 for Bike & Barge tours costing over $2500 per person.

If payments are not received on time, the reservation is subject to additional charges for courier service, or any other additional fees incurred as a result of late payment

Reservation Changes – Due to expenses incurred in making changes, a $25 fee will be assessed for each change made before departure. This includes changes to passengers name, hotel, departure date, or ground transportation. Any changes to air portion may be subject to additional charges.

Partial Refunds – If purchasing a complete tour package, no refund is possible if clients elect not to use all or part of this package, ie. depart early.

Cancellation Policy – Tour cancellations are subject to the following per person charges:

Cancellation of Bike and Barge Cycle Tours
Up to date of final payment – deposit amount
Final payment date to 60 days before departure- 50% of cost
59 – 0 days before departure- 100% of cost

Cancellation of all other Land Based Tours
Up to date of final payment – deposit amount
From 60 to 40 days before departure – 50% of cost
39 – 0 days before departure- 100% of cost

Airfare Cancellation – All airfares are subject to cancellation fees. When purchasing “seat sale” tickets consult The Vacation Station for applicable penalties and/or restrictions. Whatever penalties these suppliers impose will be applied to your invoice in addition to the cancellation penalties noted above..

Airline Responsibility – The carriers concerned are not to be held responsible for any act, omission, or other event during the time passengers are not on board their conveyances. The airline passenger tickets, when issued, shall be the sole contract between airline and buyer/passenger of these tickets.

Prices – Published prices are in Canadian Dollars.

Price Increases – The Vacation Station reserves the right to pass on any increase received from hotels, airlines, or any other supplier that is part of this package. If the price increase is more than 7% (except increases resulting from an increase in retail sales tax or federal Goods and Services Tax or Harmonized Sales Tax), the customer has the right to cancel the contract and obtain a full refund.

No price increases are permitted once clients have paid in full.

Exchange Rates: are guaranteed not to change once deposit has been paid.

Accommodation: The Vacation Station reserves the right to substitute chosen property with hotel or condo of similar or higher rating if necessary.

Baggage Allowance – Most airlines allow one piece of free checked baggage however individual airlines policy varies greatly. A ski bag together with boot bag will typically be considered as one piece of checked baggage.

You are advised to check your airline website for the exact rules of your flight as their rules are constantly changing.

Insurance – Motor vehicle theft & CDW, health, accident, luggage, and trip interruption / cancellation insurance are strongly recommended. Contact The Vacation Station for details and costs. We offer RBC travel insurance.

Responsibility – All bookings are accepted on the condition that The Vacation Station acts only as a booking agent to the passenger in regard to travel by rail, motorcoach, rental car, aircraft, or any other conveyance, and assumes no liability for injury, damage, loss, accident, delay or irregularity which may be occasioned either by reason of defect in any vehicle or for any reason whatsoever, or though the acts of default of any company or person engaged in carrying out the arrangements of the tour. Neither The Vacation Station nor its subsidiaries, etc., here or abroad, shall become liable for loss or consequence due to schedule changes or any cause or irregularity occasioned by cancellation, over booking, or strikes of airlines, trains, hotels, car rental companies, ground service operators, in addition to acts of God, etc. Under these circumstances, no portion of land arrangements will be refunded. The Vacation Station and its agents can accept no responsibility for damage done to hotel, pension, or apartment property by guests or their dependants. Settlement shall be between guest and property owner. Nor can any responsibility be accepted for loss or theft of guests property, luggage, etc. Neither The Vacation Station nor its subsidiaries, etc, here or abroad will be liable for a lack of snow or non operation of ski lifts, closure of access routes to or from resorts due to weather conditions, nor are they liable for the late arrival of passengers at airports or hotels due to bad weather.

The Vacation Station is also a sales agent for various travel providers, such as (but not limited to) Sunwing Vacations, Air Canada Vacations, Transat Holidays, various Cruise lines, Bus Tour operators, Airlines, etc. etc. The Terms and Conditions of such partners will take precedence over the Terms and Conditions contained on this page. All purchasers of  travel arrangements from these suppliers must make themselves familiar with the applicable Terms and Conditions of their vacation.
